This Privacy Policy explains how Project LoadGuard, Inc. (“LoadGuard,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you visit our website at loadguard.io (the “Site”) or use the LoadGuard cargo-integrity and shipment-intelligence platform, tracking devices, and related services (together, the “Services”).
1. Who we are & scope
LoadGuard provides a business-to-business platform that gives shipments an evidence-backed digital record — combining tracking hardware, document and email intelligence, container and vessel tracking, alerting, and reporting. Our Services are intended for businesses (exporters, importers, carriers, logistics providers, insurers, and their personnel) and are not directed to consumers or the general public. Access to the platform is provided on an invite-only basis.
For much of the business data processed through the platform, our customers decide what data to submit and why. In those cases the customer is the “controller” of that data and LoadGuard acts as a “processor” (or service provider) on the customer’s behalf, handling the data according to our agreement with them. For information we collect directly — such as through the Site, our contact and pilot-request forms, and our own account administration — we act as the controller. This Policy describes both roles; where a conflict exists, the written agreement with our customer governs the data that customer submits.
2. Information we collect
Account and identity information
When an account is created for you, we collect your first and last name, email address, and (if you provide it) mobile phone number, together with your assigned role and account status. Authentication, passwords, and multi-factor authentication are managed through Amazon Cognito; we do not store your password.
Shipment and logistics data
The platform processes the operational data our customers submit or connect, which can include bills of lading, commercial invoices, packing lists, certificates, and other shipping documents; container, voyage, and vessel identifiers; and related shipment records. Some of this business data contains personal information about third parties — for example the names and addresses of shippers, consignees, and notify parties recorded on shipping documents. Customers are responsible for having a lawful basis to provide this information to us.
Email and communications content
Where a customer directs shipment-related email to the platform, we ingest and store those messages (including sender and recipient addresses, subject lines, message bodies, threads, and attachments) so they can be linked to the relevant shipment. We also process messages you exchange with our support agent, including over WhatsApp, and the information you submit through our contact and pilot-request forms (name, email, phone number, company name and location, and your message).
Device and telemetry data
LoadGuard tracking devices are attached to cargo and containers — not to people. When active, a device reports readings such as GPS location, temperature, humidity, air-quality index, motion and shock, light, door events, battery level, and nearby cellular network identifiers used to help resolve location. This telemetry describes the condition and whereabouts of cargo and containers. The only point at which telemetry is associated with an individual is at installation, where we record which operator installed a device (and may retain an installation photo and the detected container number) for evidence and quality purposes.
Information collected automatically
When you sign in to the platform we set a single, encrypted, secure session cookie to keep you authenticated (see Cookies & tracking). Our servers and infrastructure providers also generate operational logs — such as request metadata, timestamps, and error diagnostics — that we use to run, secure, and troubleshoot the Services.
3. How we use information
We use the information described above to:
- provide, operate, maintain, and secure the Services and your account;
- build and maintain the unified shipment record — extracting structured facts from documents and email, resolving container, vessel, and voyage identities, and tracking positions and events;
- generate alerts, notifications, evidence packages, and reports;
- authenticate users, deliver one-time passcodes and account-lifecycle messages (invitations, reactivations, and password resets), and enforce access controls;
- respond to contact and pilot requests and provide customer support;
- monitor, debug, and improve the reliability, quality, and safety of the Services;
- comply with legal obligations and enforce our agreements.
We do not use the personal information described in this Policy to serve third-party advertising, and we do not sell personal information.
5. Mobile messaging & SMS
If you provide a mobile phone number, we may send you text (SMS) messages and, where enabled, WhatsApp messages in connection with the Services. These messages are transactional and account-related — for example, one-time passcodes for multi-factor authentication, security and account notifications, operational alerts you have configured, and replies from our support agent. Message frequency varies based on your account activity and settings.
We do not share mobile opt-in information or SMS/text-messaging consent with any third parties or affiliates for their own marketing or promotional purposes. Mobile phone numbers collected for text messaging are used only to provide the Services described above.
Consent. By providing your mobile number and opting in, you consent to receive the messages described above at that number. Consent to receive messages is not a condition of any purchase.
Opting out and help. You can opt out of SMS messages at any time by replying STOP to any message; you may then receive a final confirmation that no further messages will be sent. Reply HELP for assistance, or contact us at niazi@loadguard.io. Opting out of text messages may affect security features such as SMS-based multi-factor authentication.
Rates. Message and data rates may apply. Message delivery is subject to your mobile carrier and is not guaranteed. Carriers are not liable for delayed or undelivered messages.
7. AI processing
To turn documents and messages into a structured shipment record and to answer questions through our support agent, we send relevant content — such as document text and email content — to the AI providers named above. We use these providers to process your content solely to deliver the Services. We do not authorize these providers to use content submitted through the Services to train their general-purpose models, and we take steps to constrain how third-party content is handled during processing.
8. International data transfers
LoadGuard is based in the United States and our infrastructure and service providers may process information in the United States and other countries. Because global logistics is inherently cross-border, information you provide may be transferred to, stored in, and processed in countries other than your own, where data-protection laws may differ. Where required, we rely on appropriate safeguards for such transfers.
9. Data retention
We retain information for as long as needed to provide the Services, maintain the evidentiary record that is central to the platform, comply with our legal obligations, resolve disputes, and enforce our agreements. In practice this means account records are typically deactivated rather than immediately erased so that historical evidence remains intact; stored files and shipment records are moved to long-term archival storage over time; and certain transient records (such as message queues and conversation state) expire automatically after short periods. When we no longer have a legitimate need to retain information, we delete or de-identify it. Customers may also have retention terms defined in their agreement with us.
10. Security
We use technical and organizational measures designed to protect information, including encryption of data in transit and at rest, mutual-TLS authentication for device telemetry, strict tenant isolation so each customer’s data is segregated, role-based access controls, multi-factor authentication, and encrypted secrets management. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or restrict the processing of your personal information, to object to certain processing, or to receive a copy of it. Within the platform you can update your phone number and password directly; your name, email address, and organization are managed through your organization’s directory, and account deactivation or closure is handled by your organization’s administrator or by contacting us. You can exercise messaging choices as described in Mobile messaging & SMS.
Much of the personal information on the platform is submitted and controlled by our business customers. If your information was provided to LoadGuard by an employer, a trading partner, or another organization using the Services, please direct your request to that organization; we will support them in responding as our agreement and applicable law require. For information we control, contact us using the details below and we will respond consistent with applicable law. We will not discriminate against you for exercising these rights.
12. Children’s privacy
The Services are intended for businesses and their personnel and are not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice where appropriate. Your continued use of the Services after an update takes effect means you accept the revised Policy.
